Customer Problem:
The Health Dept. has over 700,000 paper documents of various sizes stored in numerous file cabinets relating to cancer data. The key information from those documents was already in a Sybase database on a SUN server, but it was regularly necessary to view and markup the actual document, which had originally come from facilities throughout the state. To do so required physically accessing the paper file and routing it to the Health analyst who needed it. This was not only a time consuming process, but the cost of maintaining the files was high, due to the cost of personnel and the cost of the space for storage. There was also no backup copy of the files, so all of them would be lost if a fire or other catastrophe occurred.

After discussions with the network administrator and other personnel who used the existing system, On Sync proposed a document imaging system that provides fast access to all of the documents on the SUN systems used by the analysts. Those users are able to instantly bring up the documents needed, plus, with appropriate authorization, can redline or add sticky notes to the document. Significant time savings resulted.
The system has been installed and consists of PC based scanning and indexing stations for inputting the documents, with the documents being stored on a UNIX server with a RAID disk array and backed up by a DLT tape drive. The data sets are transferred to the server using Hummingbird’s PC NFS software. The department is currently scanning existing documents so the current backlog can be on line.
